3D Quoting Tool for Sales Reps: At the Factory and in the Field

Curved roof with a 72 ft span and green roofing: the configurator redraws the arch when the width changes.

In short: A 3D quoting tool for sales reps is the version of the configurator the sales team uses: it shows the product in 3D, calculates the price when a rep is logged in, and produces the quote on the spot, at the factory or in the field.

For a sales rep, a 3D quoting tool replaces the catalog, the calculator and the call to the owner. With a tablet or phone, the rep builds the product in front of the customer, shows it in 3D, sees the price under their login and leaves the visit with the quote done.

That login is exactly what sets it apart from the configurator the public sees: the buyer plays with the product; the rep also quotes it.

An ordinary Tuesday for a factory sales rep

At nine, she meets a couple in the showroom who want a two-bedroom prefab home with a porch. At eleven, she drives to a farm 40 kilometers away to see where an open-sided shed will go. In the afternoon she answers WhatsApp from the car (in Argentina, that's where most customers ask for prices): three inquiries, one from someone who had already asked for a price a month ago.

In each of those places, the traditional sales rep has the same problem: she can't close anything without going back to the factory. She needs someone to calculate, someone to draw, someone to confirm this week's price. And the customer notices: they're talking to a go-between, not to someone who can make decisions.

A quoting tool designed for sales reps changes that in all three settings.

At the factory or showroom: showing what doesn't exist yet

The classic showroom problem is that it shows just one thing. You have one model home built, or one display building, and the customer wants a different size, a different layout, a different finish.

With the quoting tool open on a big screen or a tablet, the rep starts from the model the customer is looking at and transforms it:

  • Removes a small bedroom and enlarges the living room.
  • Adds a porch and swaps the brick siding for stone.
  • Switches to the floor plan view so they can see how people move through the house, and uses layers to look inside.

The customer stops imagining. And the rep stops saying "that can be done" and starts showing what it looks like. To see how room-by-room configuration works, try the prefab home configurator.

In the field: the customer's home, the farm, the job site

Away from the factory, the tablet has to be enough. That asks specific things of the software:

  1. It has to run in the device's browser, without a powerful computer. The 3D has to move smoothly on an ordinary tablet. I explain why in why a 3D quoting tool has to work on a phone.
  2. It has to work with no signal, or a bad one. On farms and at many job sites there's no 4G. An installable app that saves the quote on the device and syncs it when the connection comes back solves that; I go into detail in quoting with no signal.
  3. It has to calculate delivery, because the first question outside the city is how much it costs to get it there.
  4. It has to offer payment options, because the customer's living room is where "can I pay in installments?" comes up.

What the sales rep sees that the customer doesn't

There's a separation worth getting right from the start: the public configurator doesn't show prices; the sales rep does see them. In the quoting tool I developed for EQUIBOX, the horse barn manufacturer in Berazategui, Buenos Aires, prices only appear when a sales rep is logged in. The buyer designs their barn in the public quoting tool and requests a quote; the rep, with their own account, sees the price, delivery calculated per kilometer, payment plans, installments and discount coupons.

That separation has a business reason. The manufacturer decides what to show the public and what to keep for the conversation, without running two different systems. The 3D product is the same; what changes is what each login unlocks.

On the sales side there are roles too. EQUIBOX has admin and sales rep roles: the rep quotes and follows up on their customers, and the admin sees everything, including reports with charts. On top of that, every quote triggers an automatic email notification, so the owner knows what's being quoted without asking.

What the rep gains and what the owner gains

For the rep, the gain is autonomy. She can quote on a Saturday, on the road, at eleven at night, without waiting on anyone. She can answer "what if we make it longer?" on the spot. And she comes across as someone who solves problems, not a messenger.

For the owner, the gain is different: he stops being the bottleneck. The calculation rules he carried in his head are now loaded into the system, so a new rep quotes the same way as one with ten years on the job. I cover this in sales reps who quote on their own.

And there's a shared gain that shows up later: fewer mistakes. When quantities and prices come from rules, no rep forgets to add the door or uses last month's price list. The typical mistakes are in the costliest quoting mistakes a manufacturer makes.

How much training does a sales rep need?

If the quoting tool is well built, not much. The rep already knows the product; what they learn is where each option lives. That's why the step-by-step wizard should follow the order in which reps already explain the product. At EQUIBOX the wizard has seven steps, starting with the structure, the model, the stalls, the walls and the accessories: it goes from general to specific, the way any horse barn salesperson explains the product.

What does require an internal agreement is what each rep is allowed to do: whether they can apply discounts, up to how much, whether they can offer interest-free installments. Those business rules are defined with the manufacturer and live in the system, not in each person's goodwill.

What a quoting tool for sales reps doesn't do

It's worth being clear about the limits. A quoting tool doesn't replace the sales rep: it doesn't read the customer, it doesn't know when to push or when to let a week go by. Nor does it fix a product the manufacturer hasn't defined. If every building gets calculated differently depending on who does it, you first have to agree on the rules.

What it does do is take off the rep's plate the work that isn't selling: calculating, drawing, looking up the current price, putting together the PDF, entering the contact. That time goes back into the conversation with the customer.

How one gets built for your company

I'm Facundo Campo, a software developer based in Quilmes, Buenos Aires, Argentina, and I build custom 3D quoting tools on my own parametric rendering engine. What gets developed for each manufacturer is the rules of its product, the price table the manufacturer manages, and the sales panel its team needs.

If you'd like to see your product in your sales reps' hands, message me on WhatsApp at +54 9 11 6193-3176 or email facundocampo100@gmail.com. The service is explained in custom 3D quoting software.

Frequently asked questions

Does a sales rep need a computer to use a 3D quoting tool?

No. The quoting tool runs in the browser, so it works on a tablet or a phone. At EQUIBOX, for example, the 3D was designed to run smoothly on an iPad, because that's what goes to the agricultural shows.

Can customers see the prices the sales rep sees?

That's up to the manufacturer. The usual setup is that the public configurator shows no prices and the price only appears when a sales rep is logged in, as at EQUIBOX. You can also show a reference price to the public and keep discounts and financing for the rep.

Can you limit which discounts each sales rep can apply?

Yes, that's part of the business rules defined while building the system. With admin and sales rep roles, each user sees and can do what the manufacturer allows.

What happens to quotes a sales rep makes with no signal?

If the quoting tool is built as an installable app with offline mode, the quote is saved on the device and synced when the signal comes back, without duplicating contacts.
